  • All Ambassadors, coaches and managers will be issued with a copy of the WC Sports manual and should be familiar with its contents
  • Fair Play, socially acceptable behaviour and reasonable degrees of competitiveness are expected from coaches, managers and students.
  • All school sporting activities are under the management and guidance of the PE Department, the Sports Coordinator and the Senior Leadership team
  • Students are expected to play their sport for Waihi College. Parents can contact the school for dispensation with the relevant information on a year by year basis.
  • Funding of a sports team is on a user pays basis. Sponsorship and fundraising must be approved by the school Principal and the administration of these funds must be done through the school system.
  • The Sports Coordinator will coordinate the appointment of coaches and managers to each team in consultation with the TIC, Sports Ambassador and SLT/Principal when the need arises.
  • Waihi College cannot guarantee the safety of students being transported to sporting events by students out of hours.
  • Prior to entry in any competition or tournament (excluding regular local competition) the approval of the Senior Management Team needs to be sought, via the sports coordinator
  • Any uniforms and equipment supplied by Waihi College must be returned at the end of the playing season by the coach/manager of each team. Unreturned uniforms will be charged to the player and unreturned equipment will be charged to the relevant team at its replacement cost.
  • In circumstances where coaches, managers or students are not maintaining the required standards, the College reserves the right to set restrictions or withdraw the opportunity to be involved with sporting activities.
  • The sports coordinator will receive a record of payment of sports fees and charges and will inform coaches, managers and the students that they are unable to participate due to non-payment.
  • No student will be issued with a sports uniform until all fees pertaining to his/her chosen sport/s are paid in full by the due date. Automatic payment will be accepted.
  • All students need written permission to partake in sport at Waihi College with the understanding that once your child is registered in the team, you as the parent/caregiver are liable for the payment of that fee. The college has allocated the fee based on the number of students involved in the sport. The number of teams are determined by the number of players who have trialled for the sport.
  • New sports or teams registering for the first time need to be approved by the sports coordinator and the principal. Written permission must be given by the parents with the understanding that all management and policies listed are set in place before the team will be entered into any competition.
  • All funding applications must go through the sports coordinator to the senior management team in preparation for approval by the Board of Trustees.
  • All overseas travel by any sports teams must first seek approval from the Board of Trustees. Applications must go through the sports coordinator to the senior management team in preparation for approval by the Board of Trustees.
  • As per the school policy any students or staff out of class or school including sport, must have prior written approval from the Senior Management Team and Parents.
  • Any student who is stood down from school is not able to participate for the duration of the suspension or by the time stipulated by Senior Management Team.

Thank you for your dedication, hard work and sincere interest in the development of young athletes at Waihi College. We hope these guidelines will be of help in defining your very important role as coach at our school.

 

Guidelines

Have knowledge of the sport

Liaise regularly with the Teacher in Charge of your code and the Sports Coordinator and keep her/him informed of your team’s progress, problems and any action taken. Let the TIC know how she/he can assist you.

Teach the players to abide by the rules of the sport

Set high standards and promote the need for punctuality, discipline and commitment.

Set practice times on a regular basis. Inform the TIC, Manager and Captain of the team if you are unable to attend a practice or game.

Develop and encourage player motivation, player fitness and development of skills.

Consult with the Sports Coordinator with regard to entries, uniform, conduct, and tournaments.

Apply the procedures on dress, playing responsibilities, team equipment and school regulations. Eg no smoking on school or club grounds, and enforce regulations at all times.

Encourage your players to enjoy participating while working towards achieving their potential in your code. The Coaches role is very important in establishing good team spirit by setting examples of Fair Play.

Ensure that team members at all times behave in a manner that reflects positively on the school, both on and off the field. The following is unacceptable behaviour:

  • Racial Abuse Swearing
  • Spitting Physical Abuse
  • Argumentative Behaviour Disputing referee’s decisions

Ensure that the scorecard/sheet is accurate

Develop a good working relationship with the manager and TIC of the sport

Give all players an equal opportunity to participate. Development of skills, team play and a positive attitude towards participating are as important as winning.

Remember that as coach you represent an important role model. Accept official’s decisions and maintain your decorum at all times.

If for any reason you are unable to attend your team’s game, please ensure you arrange a suitable adult to attend on your behalf. If you have any difficulties, please contact our sports coordinator at least 1 day prior to the game.

The Team Manager

Thank you for your dedication, hard work and sincere interest in the development of young athletes at Waihi College. We hope these guidelines will be of help in defining your very important role as a sports team manager at our school.

Provide assistance and support to appointed coach, captain and team members, and if possible participate in team talks and activities.

Provide progress reports to the Teacher in Charge or the Sports Coordinator.

Liaise with the TIC, in respect of all relevant matters affecting the team eg

  • With the organisation of trials and selections
  • Provide team lists and other information to the TIC

Organise weekly team meetings to outline programme and organise transport for the away game.

Liaise with referees/umpires pregame and make sure visiting teams are met and their gear is safe.

Identify the procedures for the code and provide score sheets to the respective associations on the completion of the game.

Uphold the principles of Fair Play

Ensure that team members at all times behave in a manner that reflects positively on the school, both on and off the field. The following is unacceptable behaviour:

  • Racial Abuse
  • Swearing
  • Spitting
  • Physical Abuse
  • Argumentative Behaviour
  • Disputing referee’s decisions

If disciplinary action is necessary, consult with the TIC and the Sports Coordinator before imposing any penalty.

Ensure that all injured players receive the appropriate medical attention.

Help organise team transport. This is of particular importance when games are played on a home and away basis. Ensure, if the game is at home that our team welcome the opposing team.

Provide written documentation to the appropriate authority if you consider there are grounds for a protest by our team or in reply to such an action by an opposing team.

Assist with the collection of equipment and sports uniforms at the end of the game/season.

Ensure all Team members are paid up with fees prior to the seasons start or arrangement of direct debit has been made.

The Captain

  •  Lead by example in terms of dress, actions, behaviour, attitudes and fair play.
  •  Action the coaches directions on the field.
  •  Support all Waihi College players on and off the field.
  •  Encourage all players to uphold school rules and fair play principles.
  •  Ensure that the team recognises the efforts of coaches/managers who give up their time to assist. This may be done through:
  •  Writing a letter
  •  Collecting donations from players and purchasing a gift
  •  Inviting them to team functions
  •  Thanking them at club or team functions
  •  Nominate officials for local or regional volunteer/official awards
  •  Complete Captains report after each game for Sports FB Page

The Players

  • Pay all sport charges on time.
  • Attend all trainings and games. Where this is not possible tell the coach or the manager directly.
  • Play the game within the rules and also abide by the principles of fair play.
  • Respect opponents, officials and team members.
  • Listen to, and follow, coaches, managers and captains instructions to the best of your ability.
  • Help ensure all equipment and facilities are maintained in good condition.
  • Uphold all school rules in terms of uniform and behaviour.

The Spectators/Parents/Caregivers

  •  Encourage adherence to school rules and the principles of fair play at all times
  •  Respect team and match officials decisions
  •  Support players as much as possible.
  •  Respect and support all opposition players.
  •  Support the College and all team officials.
  •  Ensure all sports charges are paid, where cases of financial hardship exist, please contact the principal.
  •  Ensure uniform requirements are met.
  •  Assist with the provision of transport and supervision to and at games.
  •  Assist with officiating if possible.
  •  Approaching Officials or Team management before, during or after sporting events with complaints is not acceptable. Complaints need to be addressed during school hours by way of a meeting with the TIC of the code or the sports Coordinator or Principal.

Expectations

What should coaches and managers expect from the school?

  • To be issued with a copy of this sheet to explain our procedures and expectations
  • The opportunity to request professional development assistance. Access to our Sports Coordinator to assist with organisation and questions.
  • Provision of student uniforms and/or equipment
  • Collection of fees for the activity involved
  • Assistance in with disciplinary issues.
  • The Schools acknowledgement and approval when necessary.

What does the school expect of coaches and managers?

  • Good communication with team members.
  • Competent coaching.
  • Fairness in selection of team members.
  • All squad members to be given reasonable opportunity for games
  • Competitiveness – but not to an unreasonable extent
  • The building of team pride and school pride
  • Fair-play emphasis
  • A emphasis on student safety (and hygiene – drink bottles)
  • The use of only appropriate language
  • A regular presence at practices and games or arrangement of a substitute or adequate notice of postponement or cancellation
  • That insistence on appropriate official student uniform is made
  • No alcohol consumption while responsible for students
  • Prohibition on alcohol consumption by students while under the coach’s care
  • Notification to the school in the event of difficulties with any student
  • Operation within budget
  • Return of all equipment and/or uniforms at the end of the season
  • Assurance that suitable players receive nominations for representative teams and notification to the school sports coordinator

What should students expect of coaches and managers?

  • Appropriate language at all times
  • Appropriate gear
  • Assistance with gear and changing room clean up afterwards
  • Parent transport assistance or a financial contribution to the driver per student
  • Expressions of gratitude

What makes a good coaching session?

  • Communication of changes to all team members in advance
  • A regular time and venue
  • Promptness
  • A welcome and reinforcement of the need to attend promptly
  • Adequate warm up and warm down
  • A wide range of different activities that emphasise different skills

  • Challenging yet reasonable degrees of exertion and expectation

  • A degree of flexibility in fitting in with team members’ other commitments

Communication Avenues

Sports Notices

These are communicated in various ways:-

  • Facebook Sport Page – Most notices will be communicated through this system. Therefore it is very important students get into the habit of checking this regularly.
  • Daily Notices and Assemblies – Notices will be read out in 1st Period Class or at Assembles. These notices can also be accessed through the portal and on the sports notice board. So there is no excuse for missing information.
  • Sports Notice Board – Draws and information for all codes are posted here – outside the sports office.

Newsletter

Monthly newsletters are sent home and are also available online, keeping the community updated on life and events at Waihi College.

All results and photos can be emailed to rachaelh@waihicol.school.nz or by messenger for inclusion. – Please remember to do this as one person cannot be everywhere or know everything that’s going on. If you want your sport to be seen, send photos and blurbs weekly.

Team Communication

Team communication should be done in the best way to get information to all members and parents. This may include texting, messenger, Facebook groups.

Captains Reports

All 1st team Captains are required to produce a report after their weekly game. This is to be sent to the Sports Coordinator either by messenger or email. And will be posted on the Sports Facebook Page.

Police Vetting

All coaches are required to complete a police vetting form.

Drivers Licences

All Adults driving students to event/tournaments must hold a full licence (in accordance with NZ law) and must give a copy of this to the front school office before going on the trip.

All students must have written consent to be taken in a school van by a licenced driver.

Any students with full or restricted licences may take their own car on certain trips. No student passengers are to be taken. This must be approved by the coach or trip supervisor when the trip is being organised. Not on the day.

Sports Trips

Any sport competition or ‘friendly’ event that necessitates student absence from class will require the following steps being adhered to

Permission granted by the Senior Management Team via the Sports Coordinator processing the correct paperwork at least two weeks in advance including a SAP form for the event

Permission slips sent out to parents/guardians and collected prior to the event

A list of students involved placed on staff noticeboard and given to main office and student centre

Itinerary and menu to be given to Sports Coordinator

All adults must abide by school rules including no alcohol and no smoking or vaping in the vicinity of the building/event/accommodation.

Students MUST travel in either school uniform or team travelling kit (approved by the school) to all games and events.

Student Discipline

Students involved in incidents of ill-discipline on or off the playing field/court are answerable to the Senior Management team including the Principal. All information pertaining to the incident or incidents will be gathered by the Teacher in Charge of the code and reported to the SLT as soon as possible for the issue to be addressed and dealt with.

When representing the school at a sporting event, students are to conduct themselves in the same manner as is expected of them when at school. The school’s discipline policy and rules and regulations all apply in the sporting setting.

Sports Injury

FIRST AID PROCEDURE FOR SCHOOL TEAM MANAGEMENT

You are responsible for your team and treatment of injuries where there is NO PARENT there to take responsibility.

If an accident happens when you are taking your team, please follow this procedure:

Have a team list including emergency phone numbers for contacting parents or home.

Have a first aid kit available.

Be familiar with basic first aid.

  •  Assess the accident
  •  Treat all injuries as potentially serious
  •  Administer First Aid
  •  Seek extra help if necessary (A&E, Ambulance)
  •  Inform parents or caregivers to seek medical advice if you think it is necessary
  •  Have someone stay with them
  •  Keep the injured person warm
  •  Report accident to the Sports Coordinator

Sports Injuries

The Coach/Manager is responsible for the welfare/health of the students whilst they are representing the school at sport. In the event of any injury occurring, the following procedures need to be followed?

If it is established that the injury is a minor one, then the Coach/Manager should use their own judgment as to whether the player can continue NOT the player him or herself.

If there is doubt over the extent of an injury it must be treated as serious and the following steps taken:

Assess the injury

Player is removed from the field/court, unless you suspect a spinal injury. Then the player should NOT be moved and you need to dial 111 immediately

Medical advice is sought either at the facility or the nearest medical centre

The students’ parents/guardians are to be contacted as soon as possible by you or the manager

The Manager, Coach or designated adult is to stay with the student until parents/guardians arrive

A report of the injury is to be given to the Teacher in Charge of the code and the Sports Coordinator is to be notified.

All concussion and neck injuries must be treated as serious at all times and immediate medical advice sought by dialling 111

Concussion

Any Athlete that has suffered a Concussion must not play any type of sport until cleared by a Doctors Certificate.

It is very important that the school is notified of ANY Concussion so that this can be put on the athletes file so that teachers also have access to this information.

Always Be Prepared

Always being prepared means students will demonstrate sound self-management skills by being proactive in organising themselves to represent our school.

  • Sorting out equipment and uniform early not on the day
  • Putting in additional trainings in your own time
  • Having the equipment required for your chosen sport
  • Being ready and on time to all sports fixtures

Manaakitanga

Manaakitanga means students will show respect for coaches, managers, volunteers and especially officials even if they disagree with their decisions.

What does this look like?

  • Sportsmanship is paramount and must be on display at all times.
  • Respect your opponent, respect the game.
  • Manaakitanga is all about being a good host and it is expected that we host visiting teams well.
  • Helping coaches and managers set up and pack up in all areas.

    to accept the outcomes of all games, irrespective of the result.
  • Positively encourage and support the efforts of all players.

Always Be Prepared

What does this look like?

  • Encourage your child to have good time management – to turn up to all
    training and games on time with the correct uniform and gear
  • Communicate with Coach or Manager regarding illness/injury of athlete
  • Make an effort to understand the rules of the game
  • Offer support to coach & manager if you have skills that could be helpful at
    trainings
  • Offer support on game day by running a sideline, doing the scorebench or
    washing uniforms

Manaakitanga

Manaakitanga means showing respect for coaches, managers, volunteers and especially officials even if you disagree with their decisions.

What does this look like?

  • Show appreciation to coaches and officials who facilitate the game.
  • Remember young people play sport for their satisfaction not yours.
  • Ensure the use of any form of violence is actively discouraged.
  • Recognise good play by either team and never ridicule an individual player
    in either team.
  • Never place undue pressure on a child to play or perform.

Attendance

The Waihi College policy is that students must have 85% attendance to attend any school trip or tournament, as well as weekly sports practices and games.

The Deputy Principal in charge of Pastoral Care will pass on this information to the Sports Coordinator or TIC’s to give to Coaches.

If a student is stood down from school. The Deputy Principal in charge of Pastoral Care will pass on this information to the Sports Coordinator, TIC or directly to the coach involved with the time frame of the stand down.

Sports Awards

Students who have achieved at regional level will be recognised at assemblies held during the year.

The Annual Sports Awards Evening is held in Term 4 each year. This night recognises high achieving sports persons and teams at Waihi College.

Waihi College also takes the time to acknowledge its sponsors and applaud the efforts of its coaches, managers and officials.

The Sports Coordinator and the Sports management team are responsible for organising the awards evening in consultation with the principal.

The recipients of the awards are nominated. Judging will be done by the Waihi College Sports Management committee with the Principal having the final decision.

All trophies will remain in the Waihi College cabinets as of 2019.
